Share the vessel name, next port, receiving agent and the required delivery date and time, including the timezone. Explain whether the part is needed for a planned job or an urgent operational requirement.

Describe the cargo accurately

Include the part description, number of packages, dimensions, gross weight, collection address and readiness time. Identify batteries, liquids, chemicals or other cargo that may require special handling.

Keep the supplier, vessel and receiving-agent information together in the shipment enquiry. When the itinerary changes, share the updated receiving window before dispatch so the route can be reviewed.

Attach the available documents

Provide a commercial invoice and packing list where available. State the consignee and any agent instructions. Your operations team can then review the proposed route and documentation needs.
